Ringmark works for the businesses that use it. This page says what it keeps, why, who else sees it, and how to have it changed or deleted.
Who we are
Ringmark is run by Bhavjeet Singh, a sole proprietor in Patiala, Punjab, India (“Ringmark”, “we”). You can reach us on WhatsApp at +91 62846 84162 or by email at ring.mark.app@gmail.com.
Whose data this is about
- Business owners and their staff who use Ringmark. For your own account, we decide how your data is used.
- The customers, suppliers and other contacts of those businesses, whose messages and details pass through Ringmark. For them, the business decides, and Ringmark handles the data on the business’s behalf and on its instructions. If you’re a customer of a business that uses Ringmark, you can ask that business, or us, about your data.
What we collect
- Your account: your name, WhatsApp number and role, and the business details you enter (name, address, hours, UPI ID, review link).
- What the business connects: messages in its WhatsApp Business, Instagram and email accounts (business accounts only, never personal chats); its contacts (names, numbers, emails, and the columns of its customer sheet); bills, sales, quotations, invoices and stock from its billing app, CRM or uploads; and the calendar it links.
- What happens in Ringmark: tasks, notes, messages written and sent, and who did what and when.
- Your phones and computers: for each one signed in, its type and browser (like “Android phone · Chrome”) and when it was last used. Not the browser’s full details. For phone notifications, the notification address your browser gives us.
- Public pages: when someone books a seat or asks for invites on a business’s page, their name, WhatsApp number, how many seats, and whether they said yes to invites. To stop abuse we keep a scrambled form of the network address for one day.
- Payments to Ringmark: each bill and whether it was paid. If you pay through Razorpay, Razorpay handles your card or UPI details; we only receive the payment’s status and reference.
We don’t collect location, your phone’s contacts, or anything for advertising.
Why we use it
Only to run Ringmark for the business: reading and sorting what comes in, making each person’s list, reminders, the messages the business turns on, and billing. We don’t sell it, don’t use it for advertising, and don’t use it to train AI models.
Who else handles it
A few services do part of the work, each only for that purpose:
- Cloudflare: hosting, the database, and sending email. Its servers may be outside India.
- Meta: WhatsApp and Instagram, when the business connects them.
- Anthropic: the AI that sorts messages and answers Ask Ringmark, when it’s switched on. It isn’t allowed to train on the data.
- Zoho and Google: Zoho Books, Google Sheets and Google Calendar, when the business connects them.
- Razorpay: payments to Ringmark.
- Google, Apple and Mozilla’s notification services: they carry a “something new” signal to phones, with no content; the phone fetches the rest from Ringmark.
We also share data when Indian law requires it.
How long it’s kept
- Messages: 90 days on Brief, 6 months on Assistant, 12 months on Complete, then deleted every night.
- Customer lists, tasks, documents and stock: until the business removes them or stops using Ringmark.
- When a business stops: everything is deleted within 30 days of its last month. It can download a copy first, from Settings → Your data.
- Bills and payments to Ringmark: as long as tax law requires.
- Sign-ins: until you sign out, or 180 days without use.
How it’s protected
Everything travels over encrypted connections. Keys to WhatsApp, Zoho and other accounts are stored encrypted, and can be disconnected at any time. Staff see only their own lines and the customers on them.
Your choices and rights
- You can ask what we hold about you, have it corrected or deleted, withdraw a consent you gave, and name someone to act for you.
- Customers of a business: reply STOP to any message to get no more from that business through Ringmark. The business can remove you completely (in Ringmark: your page → Forget), or you can ask us.
- Owners can download all their business’s data from Settings → Your data, or pause Ringmark: while paused, nothing is read, kept, shown or sent.
